Mission
The mission of the Near East University Faculty of Pharmacy is to educate students in a manner that meets society’s needs in the field of the pharmacy profession, to advance pharmaceutical knowledge through scientific research, to provide outstanding service to the profession and society, to cultivate new leaders in pharmacy education, and to make a global difference in human health.
Vision
The vision of our Faculty is to achieve excellence in education through continuous innovation and interdisciplinary research and to confer a distinguished identity on our Faculty through our education, internships, and scientific research in the advancement of human health.
Duties, Authorities, and Responsibilities
Dean
- To chair the faculty boards, implement the decisions of the faculty boards, and ensure orderly operation among faculty units,
- Within the framework of the strategic plan, to submit to the Rectorate—when necessary—the needs of the faculty regarding human resources, technological and physical infrastructure, equipment, etc., by also obtaining the opinion of the Faculty Executive Board,
- At the end of each academic year and when requested, to report to the Rector on the general status and functioning of the faculty,
- To carry out studies aimed at developing and improving the education–training system, legislation, methods, and techniques; and to ensure that education–training, scientific research, and publication activities are conducted in an orderly manner,
- To notify the Rectorate of the faculty’s budget and staffing needs together with their justification,
- To perform general supervision and auditing duties over the faculty’s units and personnel at all levels,
- To conduct activities aimed at developing motivation, cooperation, solidarity, and a sense of membership and belonging encompassing the faculty’s units and personnel at all levels,
- To ensure that social, cultural, artistic, and sportive activities encompassing faculty units, personnel, and students are carried out effectively in coordination with the Rectorate,
- To ensure the development of the faculty’s international relations and collaborations, to lead activities to be conducted in the fields of internationalization, quality assurance, and accreditation, and to work in harmony with the Rectorate in these matters,
- To conduct activities and collaborations aimed at improving the quality of education training, scientific activities, and other services by also taking the opinions and contributions of academic staff, the business community, society, and students, and to establish a harmonious working order within the Faculty,
- To regularly monitor and evaluate the performance of academic staff and the achievement status of students,
- To ensure the promotion of the Faculty and the establishment of communication and cooperation between academic staff and students and the sector,
- To perform other duties assigned by the Rectorate.
Vice Dean
- To act on behalf of the Dean in cases where the Dean is not on duty,
- To perform the duties assigned by the relevant laws and regulations,
- To ensure that necessary studies are carried out for the determination of faculty policies and strategies,
- To ensure the planning, efficient use, and improvement of technical/technological and physical infrastructure,
- To perform general supervision and auditing duties within the faculty, identify needs and problems, and inform the Dean,
- To make preparations for the Faculty and Executive Board meetings, review their decisions, and ensure that they are communicated to the relevant units,
- To ensure the assignment of expert witness duties,
- To organize official openings, ceremonies, and student activities to be held by the Faculty,
- To organize accreditation activities,
- To ensure that needs related to classrooms are identified, preparations are reviewed, and supervision is carried out,
- To prepare the course schedule and the examination schedule,
- To establish commissions on matters within the scope of duty and to monitor commission work,
- To follow up correspondence related to student affairs,
- To supervise course assignment arrangements made by departments,
- To listen to student problems and find solutions,
- To ensure the preparation and supervision of Academic Activity Reports and strategic plans,
- To review and supervise all activities to be organized by student clubs,
- To chair meetings to be held with class and faculty representatives,
- To organize orientation activities for new students
- To update the student guide
Heads of Departments
- To ensure that education–training and research at all levels in the department, and all activities related to the department, are carried out regularly and efficiently, and that resources are used effectively,
- To participate in the faculty or school board and represent the department,
- To monitor whether teaching staff assigned in the department fulfill their duties,
- At the end of each academic year, to submit to the Dean or the Director of the school to which the department is affiliated a report explaining the department’s education–training and research activities of the previous year and the work plan for the following year.
Heads of Divisions (Heads of Academic Units)
- To chair the division board and implement board decisions,
- To ensure that the division’s education–training and research activities at all levels are carried out regularly and efficiently,
- To participate in the departmental board and take board decisions,
- To ensure coordination among the division’s teaching staff,
- To ensure the preparation of the division course curriculum,
- To ensure the preparation of the division's weekly course schedules,
- To ensure that the division’s course distribution among teaching staff is carried out in a balanced and reasonable manner,
- To ensure that all correspondence between the division and the Dean’s Office is conducted properly,
- To perform general supervision and auditing duties to prevent disruptions in the division’s overall functioning,
- To identify issues related to education–training in the division and report them to the Dean’s Office,
- To report the division’s needs to the Office of the Dean in writing,
- To ensure the formation of a communication environment among teaching staff in the division for the purpose of conducting education–training and scientific research efficiently and effectively,
- To ensure the conduct of the division’s evaluation and quality improvement activities,
- To ensure that the division operates in line with the faculty's strategic plan,
- To ensure the preparation of division activity reports and submit them to the Dean’s Office,
- To provide the necessary information related to the division for the Division Academic Board,
- To ensure that teaching staff deliver their courses regularly,
- To ensure that division course grades are entered into the automation system on a regular basis,
- To carry out other duties assigned within the scope of the Dean’s Office responsibilities.
Faculty Secretary
- To organize the Dean’s telephone calls and appointments and to follow daily work processes,
- To inform the Dean regarding urgent daily correspondence within the workflow,
- To ensure that the office remains locked when the Dean is not present,
- To prepare and follow the Dean’s Office daily correspondence, and to file it after the process is completed,
- To prepare various documents and materials requested by the Dean’s Office,
- To distribute correspondence requested by the Dean’s Office to relevant persons and follow up accordingly,
- To announce meetings to personnel,
- To remind the Dean of the day and time of important meetings such as the University Executive Board, Senate, Faculty Board, Faculty Executive Board, and Disciplinary Board,
- Under the guidance and management of the Dean, to prepare the agendas and decisions of the Faculty Board, Executive Board, and Disciplinary Board meetings; to inform relevant parties; to have the decisions signed by board members; and to send them to the relevant units,
- To notify relevant units of various announcements upon the request of the Dean’s Office,
- To keep, archive, and safeguard personal and institutional files belonging to the Dean’s Office and the Dean,
- To prepare confidential correspondence of the Dean; and to prepare requests such as invitations and congratulatory cards and ensure timely delivery to relevant parties,
- To identify in advance the tools, equipment, and other materials needed by the Dean’s Office and ensure their procurement,
- Upon the Dean’s request, to record the Dean’s visitors daily in a notebook indicating name, date, and time, and likewise to record telephone callers,
- To avoid providing unnecessary information to the other party during telephone calls or visits and to observe confidentiality,
- To monitor the cleanliness of the Dean’s office and communicate technical problems to relevant parties,
- To check devices that may cause hazards in the working environment, such as stoves, heaters, and tea machines; and, when leaving the workplace each day, to check electronic devices such as computers and printers, and ensure that doors, windows, and air conditioners are kept closed,
- To protect and safeguard documents and movable and immovable assets related to duties,
- To assist units with heavy workload in accordance with the principles to be determined by the General Secretariat,
- To perform assigned duties in a timely and complete manner so as to ensure savings in labor, time, and materials,
- To take necessary measures to protect all office machines and fixtures under responsibility against any kind of damage,
- To ensure the proper and economical use of the available tools, equipment, and all materials under responsibility.
Vice Dean
Purpose, Scope, Legal Basis, and Definitions
Purpose
The purpose of this directive is to define the duties, authorities, responsibilities, and principles of operation of the Vice Dean in line with the objectives and goals of the Near East University Faculty of Pharmacy in the fields of education, research, and health services.
Scope
This directive covers the provisions related to the appointment, duties, authorities, responsibilities, and principles of operation of the Vice Dean of the Near East University Faculty of Pharmacy.
Legal Basis
These principles and procedures have been prepared based on the relevant provisions of the Near East University Academic Organization and Operational Regulations.
Definitions
For the purposes of this directive:
- University refers to Near East University.
- Faculty refers to the Faculty of Pharmacy.
- Dean refers to the Dean of the Faculty of Pharmacy.
- Faculty Board refers to the Faculty Board of the Faculty of Pharmacy.
- Faculty Executive Board refers to the Faculty Executive Board of the Faculty of Pharmacy.
- Education Coordination Commission refers to the Education Coordination Commission of the Near East University Faculty of Pharmacy.
- Self-Evaluation Commission refers to the Self-Evaluation Commission of the Near East University Faculty of Pharmacy.
Faculty members holding the titles of Professor and/or Associate Professor, Assistant Professor shall be separately designated for the Turkish and English Pharmacy Programs, and the nominated individuals shall be proposed by the Dean to the University Executive Board.
The Vice Dean shall be appointed for a term of two (2) years.
A faculty member appointed to the position of Vice Dean may resign from the duty by submitting a written notification to the Dean, which shall become effective upon submission.
Duties and Responsibilities of the Vice Dean
- To plan, implement, and ensure the continuity of undergraduate education programs, educational and instructional activities, and examination schedules in cooperation with the Education Coordination Commission.
- To conduct official correspondence regarding the assignment requests of teaching staff and faculty members outside the faculty’s permanent academic staff.
- To carry out the necessary correspondence for informing the Student Affairs Office about student regulations determined by the Faculty Executive Board.
- To contribute to the development of educational policies.
- To carry out the necessary procedures for the accreditation of educational programs.
- To organize and supervise student academic advising services.
- To determine and supervise the needs of offices and classrooms.
- To organize orientation and adaptation activities for newly enrolled students.
- To evaluate and finalize requests for make-up examinations.
- To collaborate with other boards and commissions within the faculty on program revision and development activities.
- To evaluate requests related to student participation in sports and cultural activities.
- To examine and supervise student clubs and their activities within the faculty.
- To ensure the balanced and effective allocation of courses in cooperation with Heads of Departments.
- To take necessary measures to ensure occupational health and safety within the working environment.
- To support assessment and quality improvement activities.
- To collect feedback from internal and external stakeholders and integrate it into the relevant processes.
- To ensure that incoming and outgoing documents are properly recorded, monitored, and tracked within the record management system.
- To provide opinions and recommendations regarding the implementation of this directive.
- To monitor the activities of boards and commissions related to the assigned area of responsibility.
- To carry out, on behalf of the Dean, the duties stipulated in the legislation and ongoing administrative matters in cases where the Dean is absent.
- To ensure appropriate conditions for the storage, archiving, and reuse of received documents when necessary.
- To conduct official correspondence through the Electronic Document Management System (EDMS).
- To inform the immediate supervisor about completed activities and to explain uncompleted tasks together with their justifications.
- To prepare the Faculty Internal Evaluation Report (FIER) assessing the performance of the faculty.
- To represent the faculty in the Self-Evaluation Board and support quality assurance processes.
Entry into Force
This regulation shall enter into force on the date of its publication.
Enforcement
The provisions of this regulation shall be enforced by the rector.
